Who we are

Workplace Wellbeing Solutions is a subsidiary of KW Institute of Technology and Professional Learning (ITPL) Private Ltd, based in Changzamtok, Thimphu, Bhutan. In this policy, “we”, “us” and “our” mean Workplace Wellbeing Solutions.

What we collect

When you send an enquiry through our contact form, we collect:

• your name and organisation;
• your email address and, if you give it, your phone number;
• the topic you choose, your message, and any workshops you pick with “Build your own pack”.

The form sends your enquiry straight to our email inbox. The website itself does not keep a copy.

If you email, phone or message us directly, we keep what you send us.

Like most websites, our web host keeps basic server records of visits, such as the IP address, browser type, page visited and time. To stop spam, the contact form also keeps a coded version of your IP address for a short time. These records are used only to run and protect the website.

Our website does not use cookies, analytics or advertising trackers.

How we use and share it

We use your information to:

• reply to your enquiry and arrange a consultation;
• prepare a proposal and deliver the workshops or services you ask for;
• keep a record of our communication with you.

We do not sell your information. We do not add you to a mailing list unless you ask us to.

We share it only when we need to:

• with our team and the facilitator who will deliver your workshop, including our affiliates in Australia and India;
• with the companies that run our website and email (GoDaddy and Microsoft), which store it for us;
• when the law requires it.

Where it is kept and for how long

Our website is hosted by GoDaddy on a server in Singapore, and our email is run by Microsoft 365. Some of our directors and affiliates work from Australia and India, so your enquiry may be read there.

We keep enquiries for up to two years after our last contact with you. If you become a client, we keep your records for as long as our agreement and the law require.

Our website uses a secure, encrypted connection (https). Only the people who need your information can see it.

A note on personal wellbeing information

Please do not put health or other sensitive personal details in the contact form. If you need to tell us something private, ask us to call you instead.

What you share in counselling or Confidential Individual Support (EAP) is not collected through this website. It is kept confidential under the terms of that service.

Your choices

You can ask us to:

• tell you what information we hold about you;
• correct it;
• delete it, or stop contacting you.

Email info@wellbeingbhutan.com and we will respond within 30 days.

We follow the laws of Bhutan that apply to personal information, including the Information, Communications and Media Act of Bhutan 2018.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
